Pholeo

$ independent --one-planner --several-clients

“Hey, meeting planner who has a full-time job, can you moonlight for me?”

An independent planner, on a Pholeo demo

You are the agency, the account team and the onsite lead, for three or four clients at once. Pholeo gives a one-person practice the structure a firm has: one standard across clients, a portal each client approves from, and a planner from our side when a season outgrows one pair of hands.

An independent planner juggling several clients' laptops and screens at once, each showing a different event.
  • “I have a Word doc and an Excel sheet. It’s really just a skeleton for right now.”
  • “I pride myself on being organized, and the specs are just not one of them.”
  • “I carry around a 10 pound binder with everything printed out.”

“For 25 years I was stuck translating spreadsheets and mail merges into something venues could understand. Pholeo changed that.”

One lead planner, an eight-person staff and a hybrid conference: specs, orders and budget on one record, and a venue that now works from the same one.

A firm’s structure, one planner’s overhead

Every client gets the same standard, and you get to stop being the only person who understands the grid.

  1. 01

    One standard, many clients

A project per client, an event per program, the same template in each.

Duplicate a program, keep the structure and the catalog, swap the specifics. The method you refined on one client is the starting point for the next, not a memory.

  2. 02

The client approves from a link

No deck to rebuild before every call.

Publish the functions the client needs to see and send one link. They approve on the page; the comments are a thread on the same page. Your pricing and your margin stay inside.

  3. 03

Delegate without handing over the grid

An assistant, a contractor or a venue contact with exactly the access they need.

Invite someone to one event with a role. They see the standard you set rather than inventing one, and the event does not leave with them when the contract ends.

  4. 04

    When the season outgrows you

A planner from our side rides along for the busy months.

Every package starts with a Spec Sync. The higher tiers add a monthly cadence and embedded hours on your workstreams, so a two-conference month does not need a hire.

See it on your own spec

A Spec Sync builds your first board from one real BEO or function sheet.

“Working with the Pholeo team to execute an event is like having a co-planner at your side. The additional services ensure that my event is show-ready ahead of schedule.”

FAQ

Questions planners ask about independent planners.

Straight answers. If yours is not here, ask it on the Spec Sync.

Is Pholeo too much platform for one person?

It was built by two. One record per function, a board you can read on a phone, and a Spec Sync that builds the first event with you. The overhead is the spreadsheet you no longer maintain.

How do I handle several clients?

Each client is a project with its own events, members, budgets and portals. You move between them; they never see each other.

Can a client see the program without my costs?

Yes. A portal shows what you publish, with a feedback thread. Vendor pricing and the budget stay inside the team’s modules.

What does it cost for an independent?

Packages are priced per conference, three users each, and most independents start on Paperless Production. Several conferences a year is a calendar conversation on the Spec Sync.

Can I bring in help for one event?

Yes. Add a user for the cycle or by the month, or add planning hours from our side for a heavy season, without changing package.

What happens to my data if a client leaves?

Export the event as a workbook and a zip of attachments and hand it over, or keep it as the archive. It is yours either way.
