Pholeo

$ corporate --a-calendar-of-events --one-rollup

“Three events will be in my budget, but on the back end people want to cross-charge them internally.”

A corporate event lead, on a weekly production call

A calendar of annual events, each with its own budget, its own stakeholders and its own cross-charges, and a leadership team that wants one slide with the spend, the revenue and what it returned. Pholeo rolls every event up to the project, with the GL structure finance already uses.

Case study · ASIS GSX

“It’s faster. It’s more accurate. And I don’t have to chase the details anymore.”

Thousands of attendees, several internal departments and a four-part GL structure. ASIS moved GSX’s specs, budget and reconciliation into Pholeo, and Lauren reported 24 to 36 hours saved on the major vendor bills.

What a program office gets back

Every event on the same structure, so the rollup is a read, not a quarterly project.

  1. 01

    Project-level rollup

Spend and revenue across every event, by cost center and GL code.

Each event carries the same budget areas and cost centers, so the project view reads them all at once. Cross-charges are lines in a cost center, not a note in a margin.

  2. 02

    Stakeholders by role

Finance reads. Workstream leads edit theirs. Leadership sees the dashboard.

Roles decide who changes what; modules decide which pages a member opens. The AV lead works the AV lines, the controller reads the rollup, nobody emails a workbook.

  3. 03

    KPIs beside the budget

Guarantees, attendance and revenue next to the cost of delivering them.

The dashboard reads counts, booked revenue and spend from the same record. The slide that used to be built by hand the night before is the filtered dashboard.

  4. 04

    Year over year

Duplicate the event, keep the structure, compare.

This year’s program starts from last year’s with the new dates and prices. Estimate against last year’s final is a report, so the budget conversation starts from what actually happened.

FAQ

Questions planners ask about corporate event teams.

Straight answers. If yours is not here, ask it on the Spec Sync.

We run a dozen events a year. Does Pholeo scale to that?

Each event is a pholeo inside one project. The project rolls them up: budget, revenue and status across the calendar, with the same cost centers in each so the rollup is consistent.

How do cross-charges work?

A function can carry lines in different cost centers, so the executive dinner hits the executive budget while the lunch hits the program. Reports group by cost center or GL code, and the rollup follows.

Can finance work in it directly?

Yes, as viewers with the Budget module, or with an export grouped the way they book. Reconciliation puts invoices on the lines they belong to, so the close-out matches the GL.

Does it replace our registration or marketing platform?

No. Registration, marketing and attendee platforms stay. Pholeo holds the logistics and the money behind them, and records the revenue they produce beside the spend.

How is a corporate team supported?

A Spec Sync to start, then by package: set up with you, a planner beside you monthly, or embedded hours on your workstreams for the busiest season. Workstream support is where the AV and production complexity usually lands.

What about security and procurement?

Ask on the Spec Sync and we will answer accurately with the people who own it. We do not make claims on this page we cannot stand behind.
