$ export --your-event --as-a-workbook

“We could lift and shift that exported Excel into the actual budget at the end.”

An association events director, on a custom demo

Your whole event as a workbook, plus a zip of the attachments, whenever you want it. One tab per module you can open, the About tab naming what is withheld and why. It is your data.

A planner walks out of an open vault door carrying a briefcase, the event's whole workbook in hand.
  • “We usually download that spreadsheet, clean it up, and they’re essentially getting that spreadsheet.”
  • “We lean on Excel. We use Loop and PowerPoint, but a lot of tracking in Excel.”
  • “I build our specs in Excel, submit those to the venue, and have those worksheet pages feed into a budget.”
  • “Can you send this to me in Excel to make it a little bit easier to code out?”
  • “Everything else is in spreadsheets.”
  • “Currently it’s just PDFs and folders.”

No lock-in, by design

The spreadsheet is still yours. It is just generated now instead of maintained.

  1. 01

    A workbook per event

One tab per module: functions, specs, budget, revenue, tasks, contacts.

The export is the event, laid out the way you would have built it by hand, with the ids finance and the next system might need. Open it in Excel, Sheets or whatever comes next.

  2. 02

    Attachments too

Every BEO, contract, proof and photo, zipped with the workbook.

Attachments follow the functions they belong to, so the zip is organised the way the event is, not a flat folder of PDFs.

  3. 03

What you can see is what you get

Tabs follow the pages you can open. Withheld tabs are named.

The About tab lists any tab that was left out and why, so an absence reads as a rule, not a bug. A viewer gets a viewer’s export.

  4. 04

    On demand

Queue it, download it, run it again next month.

An export is a job: it runs, it is ready, you download it. Run one at the end of the cycle for the archive and one in the middle for the board report.

See it on your own spec

A Spec Sync builds your first board from one real BEO or function sheet.

“Pholeo allows my team to plan together, no more worrying about breaking a formula and spending hours trying to fix the budget spreadsheet.”

Case study · ASIS GSX

“It’s faster. It’s more accurate. And I don’t have to chase the details anymore.”

ASIS International moved GSX’s specs, budget and reconciliation into Pholeo, and ran the show onsite without binders for the first time in fifteen years.

FAQ

Questions planners ask about data export.

Straight answers. If yours is not here, ask it on the Spec Sync.

What format is the export?

An Excel workbook with one tab per module, and optionally a zip of every attachment on the event. Both are standard files; nothing needs Pholeo to open.

Who can run an export?

Members on the write tier of the event. The tabs you get follow the modules you can open, and the About tab names anything withheld.

Can we export just the budget?

The event export is the whole event. For one view, build a report and export that to Excel or CSV; reports are the per-table export.

Is the export live?

It is a snapshot at the moment it runs. Run it again whenever you need a newer one; each run is its own file.

What if we leave Pholeo?

Export the event, download the workbook and the zip, and you have everything you put in and everything the platform computed, in files you own. There is no export fee and no lock.

Can finance get it directly?

Add them as a viewer with the Budget module and they can read the budget page and run their own report exports. Or run the event export and send the workbook.
