$ revenue --sponsorship --registration --beside-the-spend

“There’s two or three spreadsheets. Two just for the sponsorships I work on.”

An association meetings director, on a custom demo

Sponsorship, exhibits and registration revenue recorded against the same event as the spend, by category and stage. Booked and pipeline kept apart, cash and in-kind never summed, and the number the board asks about on the same screen as what it costs to deliver.

A planner holds up a balance scale, weighing sponsorship and registration revenue against the cost of the event.
  • “It’s about increasing our registration revenue for a subset of our attendance.”
  • “We use a platform for exhibitors and sponsors. Everything else is in spreadsheets.”
  • “Our registration numbers were above where we thought.”

Money in, next to money out

A sponsorship is a record with a stage. It is booked when its stage says so, not when someone remembers.

  1. 01

    Categories and records

Platinum, gold, exhibits, full registration, day passes.

Revenue categories carry a target; records carry the deal. Each record has a stage, and the stage decides whether it counts as booked or sits in the pipeline. An unknown stage is pipeline, with its money intact.

  2. 02

    Cash and in-kind

Two columns on one record, never added together.

A platinum deal brings cash and a barter. They are recorded on the same record and shown apart, with the basis for the in-kind value written down, because that is the first thing finance asks.

  3. 03

    Attribution

Which functions a sponsor is paying for.

Attribute items to a record and the dashboard shows the sponsored reception beside its sponsor. A revenue-area filter resolves to the same functions for every member who opens it.

  4. 04

    The number beside the cost

Dashboard, reports and prints read revenue with the spend.

Booked, pipeline and target against estimate, actual and variance, for the event and across the project. A null is shown as a dash, never as zero.

FAQ

Questions planners ask about revenue.

Straight answers. If yours is not here, ask it on the Spec Sync.

Does Pholeo process registration or sell sponsorships?

No. It holds the numbers against the event. Registration and sponsorship platforms stay where they are; the revenue they produce is recorded here beside the cost of delivering it.

What decides booked versus pipeline?

The record’s stage. A stage is marked as counting toward booked or not, and that flag decides, never the name of the stage. Move a record to a booked stage and the booked total moves.

How are in-kind deals handled?

As a second column on the same record, with a written basis for the value. Cash and in-kind are shown separately and are never summed into a single figure.

Can a sponsor be tied to specific functions?

Yes. Attribute items to the record and the sponsored functions show against it in the dashboard and the reports.

Who can see revenue?

Any member of the event can read it, in the budget page, the item panel, the dashboard, reports and prints. The write tier changes it. The Budget page itself needs the Budget module, like every page.

Does it roll up across events?

Yes. The project-level rollup reads every event in the project, so a team running a calendar of conferences sees the year’s revenue beside the year’s spend.
