Pholeo

$ agencies --many-clients --one-standard

“We’re a third-party vendor. We present to the meeting planner without giving them all the nitty-gritty.”

An agency operations lead, on a discovery call

Agency work moves fast and the margin lives in the rework. Pholeo gives producers one logistics layer across clients: specs that scale, approvals that happen on a link, and a budget that stays attached to the program.

A planner stands before five floating event posters for different clients and cities, pulling them into one shared framework with both hands.
  • “With that comes double-checking work and making sure it’s client-ready.”
  • “We’ve got so many menus over the next month, and the clients like to see where we’re at.”
  • “We’ll have a lot of vendors, but we don’t want to share how much they’re charging.”

Case study · ASIS GSX

“It’s faster. It’s more accurate. And I don’t have to chase the details anymore.”

ASIS International moved GSX’s specs, budget and reconciliation into Pholeo, and ran the show onsite without binders for the first time in fifteen years.

One standard across every client

Portals the client approves from, templates producers inherit, budgets that stay attached to the program.

  1. 01

    Client portals

Publish what needs approval. Collect the approval.

A portal is a client-facing document built from the program, with a feedback thread. Approvals are recorded, not inferred from a reply.

  2. 02

    Templates and duplication

    Standardize once, reuse per client.

Duplicate a program, keep the structure and the catalog, swap the specifics. New freelancers inherit the standard instead of inventing one.

  3. 03

    Production schedules

Timelines that build themselves from the program.

Sparks’ program lead describes production schedules that assemble from the team’s own entries rather than a separate document someone maintains.

  4. 04

    Margin protection

Budget on the line, actuals against it.

Estimates, actuals and variance per program, so a scope-creep conversation happens while there is still time to have it. The client sees the portal, not the vendor pricing.

FAQ

Questions planners ask about event agencies.

Straight answers. If yours is not here, ask it on the Spec Sync.

Can we run several clients at once?

Yes. Each client is a project, each program an event inside it, with its own members, budget and portals. Producers move between them without a different template per account.

Can the client see the program without seeing our costs?

Yes. A portal shows the client what you publish, with a feedback thread; the budget and vendor pricing stay inside the team’s modules.

How do freelancers get up to speed?

They are invited to the program with a role, see the standard the agency set up, and work the same board as the producers. The structure is inherited, not re-invented.

Does it build the production schedule?

The schedule is a view of the program the team already entered, filtered per vendor and printed when it is needed. Sparks’ program lead describes it as building itself.

How is pricing structured for agencies?

Per conference, in three published packages, with the option to talk through volume for a portfolio of programs.

Can we white-label the client view?

Portals carry your event’s identity and the documents you publish. Ask on the Spec Sync about the specifics you need for a client.
